TERMS & CONDITIONS

Astrology in the Wild – Dark Sky Astrology & Creativity Camping Experience

These Terms & Conditions apply to all bookings for Astrology in the Wild events and form a binding agreement between the participant (“you”) and the event organizer (“we/us”).


1. Booking & Payment

1.1 Your place is confirmed once payment is received in full.
1.2 You are responsible for providing correct contact information so we can send campsite details, arrival info, and updates.
1.3 The exact campsite location is provided after booking. We aim for the whole group to stay at the same campsite whenever possible.


2. Cooling-Off Period (UK & EU)

2.1 If you book online and are based in the UK, Ireland, or the EU, you are entitled to a 14-day cooling-off period under consumer regulations.
2.2 If you cancel within this period and the event has not yet begun, you will receive a full refund.


3. Cancellation Policy (After 14 Days)

3.1 60+ days before the event: Full refund minus a £25 admin fee.
3.2 30–59 days: 50% refund.
3.3 15–29 days: 25% refund.
3.4 14 days or less: No refund.
3.5 Name transfers are allowed at any time for free.
3.6 Date/location transfers are possible up to 30 days before the event (subject to availability; £25 fee may apply).


4. Organizer Cancellations

4.1 If we must cancel due to unforeseen circumstances—such as site closure, extreme weather warnings, safety concerns, or guide illness—you may choose between:

  • A full refund, or
  • A transfer to another date or location (subject to availability).
    4.2 Refunds will be issued within 14 days as required by UK/EU consumer law.
    4.3 We are not responsible for any additional costs you may incur, such as travel, accommodation, or equipment rentals.

5. Weather & Sky Conditions

5.1 Outdoor conditions vary and dark skies cannot be guaranteed.
5.2 Events run rain or shine. Cloud cover does not qualify for a refund.
5.3 Alternative sessions (mythology, chart work, rituals, creativity, group discussions) will be provided if the sky is obscured.


6. Camping, Gear & Personal Responsibility

6.1 You are responsible for your own camping equipment unless you have arranged rentals with us ahead of time.
6.2 You agree to follow campsite rules, respect nature, and keep noise to reasonable levels.
6.3 You are responsible for your own safety, including:

  • Navigating uneven ground
  • Staying warm at night
  • Managing your own food and water
  • Using red-light torches to preserve night vision
    6.4 By participating, you acknowledge that camping carries inherent risks, including weather exposure, slips/trips, wildlife, and darkness.

7. Health & Fitness

7.1 Participants should be comfortable with light walking, staying outdoors after dark, and basic camping conditions.
7.2 You agree to disclose any medical conditions that may affect your participation.
7.3 We reserve the right to refuse participation if safety is a concern.


8. Travel & Insurance

8.1 You are responsible for your own travel arrangements to and from the event.
8.2 Travel delays, cancellations, or interruptions are outside our responsibility.
8.3 We strongly recommend travel insurance that covers retreat cancellations, medical needs, and personal belongings.


9. Personal Belongings

9.1 We are not liable for loss, theft, or damage to your personal items.
9.2 Please secure valuables in your tent or vehicle.


10. Photography & Media

10.1 We occasionally take photos or videos during the retreat for promotional use.
10.2 If you prefer not to appear in any images, simply inform us before or during the event and we will ensure your privacy.


11. Respectful Conduct

11.1 We maintain a friendly and inclusive environment.
11.2 Disruptive, unsafe, or disrespectful behaviour may result in removal from the event without refund.
11.3 Participants agree to respect the privacy, boundaries, and beliefs of others.


12. Force Majeure

12.1 We are not liable for cancellations or changes caused by events beyond our control, including extreme weather, natural disasters, strikes, illness outbreaks, or government restrictions.
12.2 In these cases, we will offer alternative dates or a credit toward future events.


13. Acceptance of Terms

By booking your place, you confirm that you have read, understood, and agree to these Terms & Conditions.
